Sports Event Planning Checklist for UAE Organisations

A working checklist UAE organisations can use when planning a sports event, from early objectives through to post-event review.

A sound sports event planning checklist covers objectives and budget, venue and permits, format and staffing, safeguarding and medical provision, communications, and a post-event review — organised against a realistic timeline.

A clear checklist helps UAE organisations plan sports events with confidence, whether the event is a corporate sports day, a competitive tournament or a community sporting activation. The list below is a starting framework, not a substitute for a tailored project plan.

Early planning: objectives, budget and sponsor

  • ·Agree the primary objective and how success will be measured
  • ·Confirm budget range and approval process
  • ·Identify a senior sponsor and decision-maker
  • ·Set a target date, accounting for the UAE climate and public holidays

Format, venue and permits

  • ·Decide the event format and expected participant numbers
  • ·Shortlist and confirm a venue suited to the format and season
  • ·Check permits, licences and insurance requirements
  • ·Confirm parking, transport and accessibility

Safeguarding, medical and risk

  • ·Appoint an event safeguarding lead
  • ·Complete a risk assessment and emergency action plan
  • ·Confirm on-site medical and first-aid provision
  • ·Brief staff, volunteers and suppliers on safeguarding expectations

Staffing and suppliers

  • ·Confirm officiating, coaching or technical delivery staff
  • ·Book AV, branding, catering and photography suppliers

  • ·On-the-day signage, schedules and announcements

Post-event review

  • ·Collect attendance, feedback and results data
  • ·Debrief with staff and suppliers on what worked
  • ·Produce a short report for stakeholders
  • ·Log lessons learned for the next edition
